NCR SCCA Board Meeting Minutes

January 25, 2025

Attendees: James Shanks, Kit Williams, Lee Hill, John Bodnar, Matt Decker, Anna Crissman, Sam Fouse, Chris Severt

  1. The meeting was called to order at 7:00 pm by Anna Crissman, NCR RE.
  2. Motion to approve the minutes from the December Board meeting (Bodnar/Hill). Approved.

As this was the first meeting of 2025, the new Board was officially introduced. There are no new members of the Board, but Lee Hill has moved from Chapter Coordinator to Assistant Regional Executive. The Board thanks Megan Tyler for her time on the Board and her service to the Region. There is currently not a West Chapter Coordinator, and the position is open. Anyone interested should contact the Board or attend a meeting to voice their interest.

Financial Report

Treasurer Sam Fouse had sent a financial report to Kit Williams, Secretary.

As the details of our finances are confidential, NCR members who wish more information should contact either the Office Manager or any member of the Board of Directors. They are also invited to attend a Chapter Meeting, where such matters are discussed in detail.

Ben asked if the Rockingham event for Lucky Dog Racing, which we provided flagging for, turned a profit. Sam said it did but it was a very modest number. Anna said we had been contacted to provide flagging for the Lucky Dog event in July this year and that we needed to open registration for this soon to attract flaggers.

Chapter Reports

James Shanks said the Triangle Chapter met and held another automotive trivia contest which Sam Fouse won. They had 17 attendees including a few new faces. He wrote a full report for the website. Chris Severt said the Cape Fear Chapter had met the previous night at their normal location with 7 people, and they were able to meet in a private room instead of in the restaurant. They had one new guest attend and they mostly discussed getting on track and autocrossing. Lee Hill, who is no longer the West Chapter coordinator, said they had a meeting with mostly regular members, as well as Tim Lyons. Lee said no one who attended was interested in the West Chapter coordinator position, so the position is currently open.

Old Business

  1. Awards Update: Anna said that Rob Wilmoth, the chair of the Awards Committee, was unable to attend the meeting. He passed on a note that no specialties have passed on any awards to him, so the banquet will proceed without any specialty awards at the moment. Ben Tyler said he had awards to give out but had not sent them to Rob. He promised to work on this.
  2. SEDiv Convention: Sam Fouse said he had sent an email out to the Board and Comp Board members making sure they were aware that the Board will help cover expenses to attend the SEDiv convention. The Region has done this for many years and is continuing to do so, either through an advance or through reimbursement after the event. Sam said only a few people had taken advantage of this and he wanted to make sure anyone on either Board who wanted to go to the convention knows that we will help them. He stressed that he needed anyone who takes advantage of this to send him receipts for everything related to the convention.
  3. Banquet Update: Anna said that Elizabeth Severt had sent her an update. She said everything is on schedule so far, and she is waiting on the event venue to send us a menu so we can distribute it. There are currently 32 people registered for the event. We had roughly 70 attendees last year, and Anna is hoping that people are simply waiting to register. It is $35 to register online and it will be $40 to register at the door on the day of the event. The venue did include a clause in our contract to say that we could not collect cash at the door for the event, so anyone who does not preregister is encouraged to bring a check in order to pay. Registering online is far easier and will give us a more accurate head count to give the venue.

New Business

  1. SCCA Targa at NCCAR: Anna said Stephen was approached by the National TT program regarding their upcoming Targa event in June 2025. They are having a Targa across the southeast which will go to AMP, Road Atlanta, NCCAR, and CMP. Stephen told the National TT program that we wanted to control the relationship with NCCAR and that we would host the contract for the event, and that we would provide additional workers as needed to cover the Targa at NCCAR. The NCCAR event will be on June 13th, and the Targa will be run from June 11th through the 15th. We will need to open our own registration for workers only in order to make sure we get enough workers to cover the event, which will only be for half a day. As we do not have a contract yet, and since Stephen was not present, there was no motion at this time until we have more information.
  2. SEDiv Giveaways: Anna brought up that we have historically been giving away a race entry as a door prize at the SEDiv banquet. She said it does not have to stay the same this year and we can offer anything we decide. Last year, we gave away two $250 discounts, and she recommended we do this again, and that we should open these discounts to road race and TT events. Motion to provide two $250 discounts to a 2025 NCR road race or TT event for the purpose of a door prize at the SEDiv banquet, and these can be transferred freely from the winner to anyone they like, but they cannot be returned to the region (Hill / Fouse). Motion passed. Anna said Bruce was going to send her the information needed, and those coupons would be made through MSR using their new gift certificate feature.

Motion to adjourn (Hill/Fouse) at 7:46pm. Motion passed.
